The prior year’s President’s Club event rewarded honorees with an ideal Caribbean getaway. This year’s 70 top sales performers and their plus-ones deserved something just as unforgettable. How would this healthcare leader meet or top an already high bar?

Lightspeed would have a five-month planning period to nail down every aspect of the event and locale, register guests, engage supporting vendors, plan meals, transportation, and guest activities, create branded communications and signage, source giveaways that guests would actually want, and culminate the week with an outdoor culinary experience under the stars.

Combine Outdoor Adventures And Luxury At Sedona Resort

Rising to the top of Lightspeed’s venue-sourcing options was the Enchantment Resort, located at the base of Boynton Canyon in Sedona, Arizona. The area’s iconic red rock landscapes served as a stunning backdrop for the week.

The company turned to Lightspeed for additional event planning, production, and creative services including:

  • Branding and Creative Treatment. All creative elements, digital channels, and event signage showcased the distinctive views and vistas of Red Rock Country. Briana Fahmie, Program and Events Lead at Lightspeed, says:
  • “We leaned into Sedona and its incredible aesthetic as the main feature of this event, with the focus on the natural beauty all around you.”
  • Web and Collateral Development. Lightspeed developed an event website for guests to begin immersing themselves in the Sedona locale before they even packed their bags. Drone video footage on the website pans across Boynton Canyon, while menu tabs feature banners of Sedona landscapes along with agenda items, activities, and FAQs.
  • Panoramic banners continued throughout all communications including the Save the Date, invitation, Know Before You Go reference guide, and private event signage. This visual continuity stitched together guest experiences at every touchpoint.
  • Video Production. Lightspeed produced a teaser video to encourage the client company’s sales team to finish the year strong and qualify for everything the Sedona getaway would have to offer.
  • Onsite Logistics and Vendor Management. The healthcare company wanted a partner who could anticipate and handle all the non-stop details of event planning and production. Among other things, Lightspeed:
    • Sourced and shipped giveaways to perfectly match each guest’s planned itineraries, such as Camelback hydration packs for the hikers, and s’mores kits for the fireplace in every guest room.
    • Managed transportation to and from the resort, located 20 minutes from downtown Sedona, and arranged additional guest activities upon request.
    • Coordinated with a local destination management company (DMC) for onsite details. Southwestern-themed furniture and décor rental through the DMC created outdoor social spaces for the welcome reception and closing-night dinner.
  • Excursion Activities. Guests chose from among 30 excursion options including several outdoor adventures to make the most of being in Red Rock Country. Options for two days of hosted activities included Jeep tours, guided kayaking, horseback riding, a helicopter tour of Sedona, or a hot air ballooning experience, among others.Lightspeed ensured everyone was where they needed to be and that guests signed any necessary waivers required by some of the more adventurous outdoor excursions. Lightspeed Events Director Billy Matiernan says activities continued around the clock:“Guests who signed up for the hot air balloon ride had to depart from the hotel by 4:30 a.m. That meant staff had to be up even earlier with the buses and hot coffee at the ready. Other guest activities continued throughout the day and evening, plus stargazing with telescopes at night.”
  • Reception and Dinner Events. The welcome reception set the tone for the week, which culminated in a closing night dinner to create a lasting impression. Lightspeed left no detail to chance, from menu planning to entertainment. Bespoke drink and dinner menus reflected event branding elements. Wine barrels as highboy tables blended seamlessly into the outdoor vistas. A star-guiding astronomer and dream-catcher artist added to the immersive experience.
